In April 2024, we transformed contract management with AI-driven analysis; this case study delves into the design process behind this time-saving innovation for internal teams and customers alike.

COMPANY CONTEXT ————
The company's strategic vision is to revolutionize contract management through AI integration. Our goal is to reduce human processing by integrating AI's capabilities to read and pre-populate contract fields automatically.
Since AI shall embed in each workflow of the product, my role is to create interfaces across the platform that makes this advanced technology feel simple, natural, and fundamentally integrated into the users' workflows.
CHALLENGES ————
The primary challenge is to integrate AI workflows into the application to reduce manual processes without disrupting existing user interaction patterns and workflow continuity.
Apart from the above flows, the first and simplest flow is to add a dashboard shortcut to the filtered view.
Verification workflows
Addressing potential AI errors, we proposed a user verification step considering the nuance in contract management. While another perspectives worried that it would be another form of workload, collaborating with CX, design conducted targeted prototype interviews with the legal user group to validate the approach.

AI can make mistakes. The design below aimed to solicit feedback on the verification process. However, the feedback loop was already negative due to cognitive overload from numerous verification checkboxes, making the interface overwhelming and complex.

Contract analysis was our platform's pioneering AI feature, opening the door to a wave of AI capabilities. While we eagerly integrated these innovations, aiming at 1M EUR ARR, the journey was challenging. The constraints were significant, and in hindsight, the interface's ability to seamlessly accommodate such a large-scale workflow transformation was limited.
If I could revisit the process, my first focus would be a comprehensive interface review, ensuring that each new AI feature does not just exist, but truly belongs within our platform's ecosystem. The goal is to create an experience where AI feels like a natural extension of the user's workflow.
